

OUR POLICIES
Below are our policies for events and safeguarding that we expect from all our members. We make this information public so that event organisers, charities and partners that work with us can see what we have in place to ensure a smooth and excellent experience with what our community has to offer.
Our Events Policy
Rule 1: Behave Appropriately at All Times
- This includes no shouting, swearing, or inappropriate comments towards other members or members of the public
- We must remember that we are there to put smiles on faces and raise money for charity (if applicable)
Rule 2: No Promotions/Politics
- We cannot promote businesses or shops, so please keep these out of any photos you are wanting us to post on social media. This includes holding products, standing on or in branded spaces, and attending retail events. LFL will sometimes allow us to do special promotions such as May 4th events as an exception to the rule.
- We do not promote political viewpoints, we are here to portray a wide array of unique and fictional characters, so real world politics and social issues are something we keep out of our events. For more information on community related policies, our community guidelines are further down the page.
Rule 3: Table Manning and Marching policy
- The table must be manned by at least 1 non-costumed person at all times or 2 costumed members for safety and security of our assets.
- Food and Drinks must be kept out of the view of the public, leaving these in view make the table look unorganised, messy and unprofessional.
- During a march, helmets must remain on and pace must be kept with the rest of the group so that we are not causing disruptions to the flow of the general public wishing to walk around. You must walk with a partner, regardless of whether it’s double or single file, if you are struggling, know when to stop and ensure that you let the person next to you know so they can stay with you for support.
- All marches require a handler or spotter that is at the front AND at the back to ensure all members are being watched over in the instance they need to step out for any reason, so that we can ensure they are okay and well.
- Approved members will be closer to the front of the march depending on their Tier.
Rule 4: Props and Weapons
- Do Not at any time touch a prop or costume that is not your own without first gaining permission, breakages of other members’ equipment due to breach of this rule will result in a potential ban from events or removal from the clan.
- Weapons must be appropriate for public display, no metal blades or sharp edges, and any earthy/military looking weapons must be non-metal, non-functional and have an orange tip. More information about weapons is within our approval guide under 'soft parts/accessories'.
- Weapons should never be pointed at the camera or at a member of public.
Every Event will have an Event Leader, whether that be an admin, officer or otherwise. If you have any concerns regarding event behaviour or setup, please contact your event leader for more information. In this instance a rule is broken, the admin team will take immediate action depending on the severity of the incident to ensure that safety comes first.
Kemir'a Clan currently has admins/officers who, between them, are able to operate First Aid Procedures, Communicate in BSL, and have certification in Health and Safety courses so that we can provide the most fun events in the safest ways possible.
Our Community Guidelines
No hate speech or bullying – Make sure that everyone feels safe. Bullying of any kind isn’t allowed, and degrading comments about things such as race, religion, culture, sexual orientation, gender or identity will not be tolerated.
• Be kind and courteous – We’re all in this together to create a welcoming environment. Let’s treat everyone with respect. Healthy debates are natural, especially when discussing the sequels, but kindness is required.
If you have ideas, post. – We want everyone to feel included in our galactic family and as such every voice is heard. Already thanks to our community we were able to create this very website, revamp our approval system and refine our events. The more information and feedback we can get, the better we can become.
Explicit Swearing is not tolerated – For the comfort and safety of all our Mando’ade, young or old, we would ask that no swearing be used. Swearing in Mando’a, however, may be allowed in select cases providing the context still aligns with our other guidelines.
Do not send any explicit links – Links that are shared that lead to sexually explicit or that of a violent nature is unacceptable and will result in immediate ban from our servers. Spamming a chat with messages, links or media is unacceptable and will be dealt with in line with the severity of the messages.
In the instance a community guideline is broken, the admin team will launch an investigation, followed by a meeting with the individual to find a path to resolution. In serious cases, we will remove the member from the group and inform other groups of the actions we have taken so they can make an informed decision. Some cases will result in suspension followed by a review. Minor cases will operate on a warning basis, but multiple warnings will also result in removal.
